Enough to get started connect to Hotline user account from which the necessary chats to the system and yours will be monitored and connect private topic group for work, set up a keyword filter, pay for a subscription, and then join them in the necessary chats (public or private).
  • Hotline can monitor the necessary chats using keywords with a given logic, and when messages are found, send notifications and begin forwarding messages from the corresponding chat to the backend group with your managers.

  • The team working on the side of the backend group can quickly respond directly to the chat with the message found or write a personal message to the author through the corresponding topic on the side of the backend group. All work takes place in your private topic group directly in Telegram, without the need to switch to web accounts.

  • When messages are found, all operators in the backend group receive notifications in their Telegram application in accordance with their personal settings and can react quickly.

Connection and configuration procedure
  • Switch to Hotline setup bot
    • Log in from your personal account to the installation bot Hotline by address @hotlinetg_bot, Choose a section New Connection
    • The connection and monitoring system will be administered from your personal account, which is why it is called the Administrator account.
  • Connecting an account to monitor chats and communicate with leads
    • Click the button Connect Account
    • We recommend registering a separate account for monitoring, searching and communicating with leads, who will later need to independently join the chats of interest (public or private).
    • The account to be connected must be active on a mobile device with a camera; to connect, you need to scan the QR code issued by the installation bot

  • Connecting a topic group for teamwork
    • It is in this group that messages found in chats will be displayed and work with leads will take place through it (we call it a backend group)
    • If you are using the latest version of the official application Telegram, then to create a new group topic, just use the dialog that appears after clicking the button Choose Group, select section Create New Group to create a group and give it a name.
    • If your version of the Telegram application shows a button Choose Group, but the button is not shown in the dialog Create New Group, then the topic group can be created manually and then selected in the installation bot.

  • Setting up a keyword filter
    • The filter is configured in the installation bot @hotlinetg_bot, you need to select the connection you created, and then go to the section Edit Parameters
    • First you need to activate the parameter MONITOR_GROUPS (And MONITOR_CHANNELS, if you also plan to monitor channels)
    • Next, the list of keywords is specified through parameters GROUPS_KEYWORDS (And CHANNELS_KEYWORDS for channels respectively)

  • System testing
    • With your connected account, join any test group using the standard method in your Telegram application or with a special command in General backend group topic: /new JOIN_LINK or GROUP_LINK
    • Try sending a message with a keyword to the test group from any account that is in the group.
    • If everything is configured correctly, then a special topic should be created on the side of the backend group, through which you can send a response to the group, go to the profile of the message author to send a personal message, or change the status of the topic with the command /close (to stop forwarding messages from the group to the topic) or get a link to the group with the command /info.
    • IMPORTANT: The free version sends a welcome message once to each group when the desired message is found, in order to disable it you must purchase a paid subscription for at least 1 month by contacting our Support Service.

  • Disabling the system greeting
    • After connecting to a paid subscription, it becomes possible to disable the automatic system greeting. In the setup bot, go to the section Edit Parameters your connection, select an option WELCOME, give it a value OFF.
    • If you need to change the message filter settings, this can also be done at any time through the installation bot by changing the parameter GROUPS_KEYWORDS.
  • Adding a connected account to groups and channels for monitoring
    • After disabling the greeting, you can use the connected account to join any number of groups or channels in the standard way in your application Telegram or a special team in General backend group topic: /new JOIN_LINK or GROUP_LINK
    • Council: add groups gradually to have time to process the found leads and gradually improve the performance of the message filter by experimenting with its settings.
  • Organization and optimization of work with leads
    • Invite your team to handle leads in a backend group or work alone

Integration with external systems
A bot can be added to the backend group to recognize special commands from operators working on the side of the backend group. For example, such a bot can send information about found leads to an external system (using Hotline Topics API), from where another employee will continue to work with them.

Processing found messages using AI
A bot can be added to the backend group, which will monitor new messages found, send them for AI analysis and return a response.

If the subject of the message is clear to the AI, the bot can send a response to the chat on its own, or mention to the operator (via mention) the need to react to the found message.
